Booking & Payment

A reservation fee is required to secure your booking date.
The reservation fee is 30% of the total venue hire cost.
The remaining balance is due no later than 30 days before your event date. The exact due date is shown on your invoice.
For bookings made within 30 days of the event, full payment is required immediately.
Payments are accepted via Stripe (card) or bank transfer.
Your booking is only confirmed upon receipt of the reservation fee and written confirmation from our team.

Cancellation Policy

30+ days before event

80% refund of total amount paid

14 – 30 days before event

50% refund of total amount paid

7 – 13 days before event

25% refund of total amount paid

Less than 7 days before event

No refund — 0% of amount paid

Cancellations must be submitted in writing by email to bookings@rivercourtchurch.org. The cancellation date is the date on which we receive written notice.

An administration fee of £200 is deducted from any refund. It is taken after the refund percentage above is applied, and can never take a refund below £0.
If the balance is not received by the due date shown on your invoice, we may release the date. Any reservation fee paid will then be refunded in line with the table above, less the £200 administration fee.

Changes & Amendments

Date changes are subject to availability and must be requested in writing at least 30 days before the original event date.
One complimentary date change is permitted per booking. Subsequent date changes incur an administration fee of £50.
Changes to guest numbers should be communicated as soon as possible. Increases beyond hall capacity cannot be accommodated.
Significant changes to the event format (e.g., adding live music, catering requirements) may require a revised quote.

Terms of Use

The venue must be vacated by the agreed end time. Overtime charges of £200 per hour apply.
The hirer is responsible for the conduct of all guests and suppliers during the event.
Any damage to the venue, fixtures, or equipment caused by the hirer or their guests will be charged to the hirer.
A security deposit may be required for certain event types. This is fully refundable within 5 business days post-event.
Rivercourt Hall Booking reserves the right to refuse or terminate any booking that breaches our code of conduct.
The venue may not be used for illegal activities or anything that conflicts with our values as a Christian organisation.

Liability & Insurance

Rivercourt Hall Booking holds public liability insurance for the venue. This does not cover your event or guests.
Hirers are strongly advised to obtain their own event insurance prior to the event date.
Rivercourt Hall Booking is not liable for loss, damage, or injury arising from the hirer's event, except where caused by our negligence.
We are not responsible for any third-party suppliers contracted directly by the hirer.
